I. What are the different services offered by eXtreme Answer?

eXtreme Answer offers useful call handling services for Dialup, DSL and Cable Modem users who don't want to miss a phone call while they are online. eXtreme Answer gives you control of your calls, from voicemail to caller ID, whether you are online or off. eXtreme Answer services work with your local phone company to make handling and identifying your calls simple and convenient, whether you are at home or at work.

eXtreme Answer Lite

An Internet Call Management system that enables you to be notified of incoming calls in real time whenever connected to the Internet. Including such features as Send to Voicemail, Ignore and Visual Caller ID, eXtreme Answer Lite allows you to never miss another call.

Best of all, eXtreme Answer Lite is completely FREE! There are no monthly service charges or annoying ads.

II. How do eXtreme Answer Services work?

eXtreme Answer Lite

When you're connected to the Internet, eXtreme Answer Lite uses Busy Call Forwarding provided by your local telephone company to intercept your incoming calls and forward them to the eXtreme Answer system. Instead of your phone ringing busy when you're online and receive an incoming call, eXtreme Answer Lite intercepts the phone call and the eXtreme Answer Call Control Window appears on your screen displaying the Caller ID of your incoming caller and providing you with two call control options. Your callers hear this: "You have reached the answering service for <your name>. Please hold while I try to locate the user". The caller is placed on hold for a few seconds while you decide what to do with the call:

  • Send to Voicemail
    Enables you to use eXtreme Answer Lite as an online Internet Answering Machine. When selected, your caller will be transferred to voicemail and will be given the opportunity to record a message.
  • Ignore Call
    Enables you to ignore the call without interrupting your Internet session. Your caller will hear: "eXtreme Answer Subscriber is not available at the moment", and the call will be terminated.

eXtreme Answer Premium

eXtreme Answer Premium uses both Busy Call Forwarding and No Answer Call Forwarding to transfer all of your incoming calls to eXtreme Answer. eXtreme Answer Premium will intercept incoming calls while your online and allow you to manage the calls with your eXtreme Answer Call Control Window. eXtreme Answer Premium will also answer your calls if your phone line is not answered after 4-5 rings or if your line is busy while you are not online.

When you're connected to the Internet, eXtreme Answer Premium uses Busy Call Forwarding provided by your local telephone company to intercept your incoming calls and forward them to the eXtreme Answer system. Instead of your phone ringing busy when you receive an incoming call, eXtreme Answer Premium intercepts the phone call and the eXtreme Answer Call Control Window appears on your screen displaying the Caller ID of your incoming caller and providing you with four call control options. Your callers hear this: "You have reached the answering service for <your name>. Please hold while I try to locate the user". The caller is placed on hold for a few seconds while you decide what to do with the call:

  • Reply
    Enables you to send a text-to-speech reply message to the caller without interrupting your Internet session. You can choose from a number of pre-recorded messages or enter your own custom message. When using the reply feature, your Internet connection will remain uninterrupted during the entire call.

  • Accept Call
    If you are using a dial-up connection, Accept Call allows you to answer an incoming phone call after being disconnected from the Internet.

    You may also forward the caller to a different phone by changing the Accept call number to that of a remote number, e.g. your mobile or work phone. You can do this by adding phone numbers to your 'Accept Call' tab in the Properties menu of the eXtreme Answer Call Control Window.

    If you are using a broadband connection, you may choose any number as the Accept call number, including the number subscribed to eXtreme Answer, without the fear of being disconnected from the Internet.

    Important Note: Airtime minutes are used anytime you choose the Accept Call feature through the eXtreme Answer Call Control Window. eXtreme Answer provides 100 free Airtime minutes per month that renew on the anniversary date of sign-up. You are not required to purchase additional Airtime Minutes. However, once the initial allotment of Airtime Minutes have been used for the month, the Accept Call feature will not work until additional minutes have been purchased.   • Ignore Call
    Enables you to reject the call without giving the caller an opportunity to leave a voice mail message. Your caller will hear: "eXtreme Answer Subscriber is not available at the moment", and the call will be terminated.

  • Send to Voicemail
    Enables you to use eXtreme Answer Premium as an online Internet Answering Machine. When selected, your caller will be transferred to voicemail and will be given the opportunity to record a message. You may then retrieve any messages from your eXtreme Answer Premium mailbox on the phone or over the Web.

When you're not connected to the Internet, eXtreme Answer Premium allows your callers to record messages 24 hours a day. The home answering voicemail portion of eXtreme Answer Premium works with your phone number by using both Busy Call Forwarding and No Answer Call Forwarding provided by your local telephone company. These features allow your callers to leave messages any time you are away from home (or do not answer) or any time your phone is busy when not online.

When eXtreme Answer answers, your caller may:

  • Record a voice mail message
  • Preview it
  • Re-record if necessary
  • Mark it as Urgent

As a eXtreme Answer Premium Subscriber you can choose to be notified of new messages by email, mobile phone or both! In addition to being notified of new messages, you may also choose to send your messages to the specified email address as .wav attachments. A wav file is a multimedia sound file that your computer can play through its sound system.

  2. When you hear your greeting press the '*' key
  3. Immediately enter your password

III. Which Call Forwarding Features are needed for eXtreme Answer?

Depending on your eXtreme Answer service, different Call Forwarding features will be necessary in order for eXtreme Answer to work correctly.

eXtreme Answer Lite

eXtreme Answer Lite uses only Busy Call Forwarding to transfer your calls to the eXtreme Answer system when you are connected to the Internet. If you did not authorize eXtreme Answer to order this feature for you during sign-up, you will need to contact your local telephone company and add this feature to your phone line. It may take the phone company up to 3 to 5 business days to install the call forwarding feature on your line.

If you are unable to subscribe to Busy Call Forwarding with your local telephone company, either due to equipment limitations at your local company or limitations on your phone plan, eXtreme Answer Lite will not work.

To verify your Call Forwarding Number, you will first need to log into your account online:

  1. Go to http://service.extremeanswer.com
  2. Enter your phone number and password in the fields provided
  3. Click the 'Submit' button

    Note: You can also log into your account by double clicking on the eXtreme Answer icon in your system tray and then clicking on 'Messages'.

  4. Once logged in, click on 'Preferences' in the left-hand navigation bar
  5. Under the 'Account Information' menu, you will see:

    Call Forwarding Number: 1-888-xxx-xxxx

eXtreme Answer Premium

The eXtreme Answer Premium service uses both Busy Call Forwarding and No Answer Call Forwarding. These features allow eXtreme Answer to answer your phone line anytime your phone rings busy (connected to the Internet or not) and when no one answers within 3-5 rings. If you did not authorize eXtreme Answer to order this feature for you during sign-up, you will need to contact your local phone company yourself and add these features to your phone line. It may take the phone company up to 3 to 5 business days to install these call forwarding features on your line. To verify your Call Forwarding Number, you will first need to log into your account online:

  1. Go to http://service.extremeanswer.com
  2. Enter your phone number and password in the fields provided
  3. Click 'Submit'

    Note: You can also log into your account by double clicking on the eXtreme Answer icon in your system tray and then clicking on 'Messages'.

  4. Once logged in, click on 'Preferences' in the left-hand navigation bar
  5. Under the 'Account Info' menu, you will see:

    Call Forwarding Number: 1-888-xxx-xxxx

Important Note: Your local phone company may charge you a small activation fee and an ongoing monthly fee for the call forwarding services. Please check with your phone company for details on these charges. For more information, please see Call Forwarding and Telephone Company Charges.

IV. What are Airtime Minutes?

Airtime Minutes

Airtime Minutes are used to track how long you stay connected on a call after using the Accept Call feature from eXtreme Answer desktop software. This feature is metered because in order for eXtreme Answer to route the call to your phone line, our system physically dials your telephone number and, obviously, just as if you dialed a long distance telephone number, we also are required to pay for telephone line usage.

As part of your monthly fees, eXtreme Answer provides you with free Airtime Minutes each month that renew on the anniversary date of your sign-up:

eXtreme Answer Premium: 100 free Airtime Minutes per month

You not are required to purchase any additional minutes each month beyond that of the free minutes included with your service. However, once your initial allotment of Airtime Minutes has been used for the month, you will not be able to use the Accept Call feature until additional minutes have been purchased.

When your Airtime Minutes are running low, you will be notified and offered the option to purchase additional minutes. The Airtime Minutes remaining refers to the number of minutes of talk time that you have left in your account.

If you wish to purchase additional Airtime Minutes, you may do so by purchasing blocks of time. Blocks of paid Airtime Minutes will roll over to the following month (for up to 12 months), but free Airtime minutes can only be used in the month that you have received them. Free Airtime Minutes will be used prior to any minutes you have purchased.

Checking Remaining Airtime Minutes

In order to check your remaining Airtime Minutes, you will first need to log into your eXtreme Answer Account:

  1. Go to http://service.extremeanswer.com
  2. Enter your phone number and password in the fields provided
  3. Click 'Submit'

    Note: You can also log into your account by double clicking on the eXtreme Answer icon in your system tray and then clicking on 'Messages'.

  4. Once logged in, click on 'Preferences' in the left-hand navigation bar
  5. Click on 'Airtime Minutes' under the 'Account Information' menu

Purchasing Airtime Minutes

As part of your monthly fees, eXtreme Answer provides you with free Airtime Minutes each month that renew on the anniversary date of your sign-up:

eXtreme Answer Premium: 100 free Airtime Minutes per month

V. Will my regular call waiting service work with eXtreme Answer?

eXtreme Answer Lite

If you have Call Waiting on your phone line and are using eXtreme Answer Lite service, you will need to temporarily disable this feature before connecting to the Internet. Your eXtreme Answer Call Control Window will not pop-up and notify you of incoming calls if this feature is not disabled and your callers will hear only continual ringing.

To use eXtreme Answer's Call Waiting Wizard to assist you in the process of temporarily disabling your Call Waiting before connecting to the Internet, you will first need to download and install the latest version of the eXtreme Answer software:

  1. Go to http://service.extremeanswer.com
  2. Enter your phone number and password in the fields provided
  3. Click 'Submit'
  4. Once logged in, click on 'Download' in the left-hand navigation bar
  5. Follow the instructions to download eXtreme Answer

Tip: After clicking on the link entitled "Click here" on the download page, your computer might ask you how you want to manage the download. If so, it is recommended to choose either "Run this program from its current location" or "Open". Do not save the file to disk, the Installation Wizard will not run automatically if you do. If you do choose to save the file to disk, select a location easy to find (such as your Desktop) and note the File Location.

Once you have downloaded and installed the latest version of the eXtreme Answer software, please follow these steps to disable Call Waiting:

  1. Right click on the eXtreme Answer Icon in your system tray (near the computer clock)
  2. Scroll to and select 'Properties'
  3. In the "Properties" window, select the 'Connection' tab
  4. In the "Connection" window, click the 'Call Waiting' button

When launched, the Call Waiting Wizard will guide you through the process to temporarily disable your Call Waiting before you connect to the Internet, allowing eXtreme Answer to answer your incoming calls.

If using the eXtreme Answer Call Waiting Wizard does not successfully disable your Call Waiting, please contact your Internet Service Provider for specific instructions on how to temporarily disable call waiting.

You need to temporarily disable your call waiting before connecting to the Internet in order for your eXtreme Answer Call Control Window to work correctly. eXtreme Answer will also accept 6-month advance payment by check. When paying by check, Bi-Annual and Annual discounts will not be applied. In addition, a $5 processing fee must be included with check payments.

How to Pay For eXtreme Answer

If you would like to pay for or upgrade your eXtreme Answer service, all you need to do is log into your account online and click on the 'Upgrade' link on the left-hand Navigation Bar. You will be prompted for the necessary payment information.

Refunds

eXtreme Answer's monthly and annual payments are non-refundable and will not be prorated regardless of usage. Nevertheless, there is no cancellation fee and you may cancel at any time.

To avoid unnecessary charges, please cancel on or before your next eXtreme Answer billing date; our system automatically bills on Midnight (12:00 AM) of your billing date. You will not receive a refund if you canceled on or immediately after your billing date.

To determine your billing date, please follow these instructions:

  1. From your online eXtreme Answer account, click on Preferences.
  2. In the Account Information window, click the link entitled Service Level.
  3. Your billing date will be listed next to the words Next billing date.

Annual renewal transactions may be refunded so long as there was no account usage and you contact our Customer Support department within 30 days following our transaction date. When receiving refunds, please allow 1-2 billing cycles (30-60 days) for the credit to post on your account.

Airtime Minute Cost

As part of your monthly fees, eXtreme Answer provides you with free Airtime Minutes each month that renew on the anniversary date of your sign-up:

Call Forwarding and Telephone Company Charges

Call Forwarding

Depending on your eXtreme Answer service, different call forwarding features will be necessary in order for eXtreme Answer to work correctly. For more information regarding call forwarding, please review Which Call Forwarding Features are needed for eXtreme Answer?

Your local phone company may charge you a small activation fee and an ongoing monthly fee for call forwarding services. Please check with your phone company for details on these charges. You are solely responsible for any fees associated with the addition and/or removal of call forwarding on your phone line. For more information, please review our Terms of Service.

Long Distance Charges

You will not incur any long distance charges when using your eXtreme Answer services. eXtreme Answer provides you with a toll-free call forwarding at sign-up to which you can forward your calls.

VII. What if I've lost, forgotten or need to change my Password?

If you have forgotten your password, please click here and follow the instructions provided. Your password will be sent to you via the contact email address on file for your account

To change your password, you first need to log into your eXtreme Answer Account online:

  1. Go to http://service.extremeanswer.com
  2. Enter your phone number and password in the fields provided
  3. Click 'Submit'

    Note: You can also log into your account by double clicking on the eXtreme Answer icon in your system tray and then clicking on 'Messages'.

  4. Click on 'Preferences' in the left-hand navigation bar
  5. In the 'Account Information' Menu, click on 'Change Password'
  6. Complete all the necessary fields and click 'Submit'

Important Note: Once you change your password online, you must also change it in the eXtreme Answer Call Control Window on your computer. To change that password:

  1. Right click on the eXtreme Answer icon in your system tray (near the computer clock)
  2. Scroll to and select 'Properties'
  3. In the first window that appears, change your updated password
  4. Be sure to check the box that reads "Save Password"
  5. Click 'OK'

If you would like to import your existing Microsoft Outlook Contacts and/or MS Outlook Express Address Book into your eXtreme Answer Address Book, you will first need to export your MS Outlook Contacts and/or MS Outlook Express Address Book into a "Comma Separated Values" (.CSV) file.

Once you have created the .CSV file, you will be able to import this file into your eXtreme Answer Address Book.

Exporting your Contacts from MS Outlook into a .CSV file:

Important Notes for MS Outlook

These instructions are for MS Outlook 2000, but should be similar for other versions of Outlook.

Although the Contacts folder can contain subfolders, Outlook can only export one folder at a time. You may need to create additional .CSV files for each folder you wish to import.

  1. Open the Contacts folder in MS Outlook.
  2. From Outlook, click on File and then scroll to and select the Import and Export... menu item; the Import and Export Wizard dialog window will appear.
  3. Select (highlight) Export to a file... and click the Next button; the Export to a File dialog window will appear.
  4. Select (highlight) Comma Separated Values (DOS) and click the Next button.
  5. Select the Contacts folder and click the Next button.
  6. Choose the destination folder and create a file name to save the resulting .CSV file (i.e. C:\MyDocuments\exported_address_book.csv) and click the Next button.
  7. When the dialog appears with the buttons Finish and Map Custom Fields..., click the Finish button (usually no custom mapping is required).

Now, you have a file located in c:\MyDocuments\exported_address_book.csv, which contains your Contacts list. Click here for instructions on how to import this file into eXtreme Answer.

Exporting your Address Book from MS Outlook Express to a .CSV file:

First you must make sure your default List Separator is a comma:

  1. From the Microsoft Start Menu, scroll to Settings and select Control Panel.
  2. Select Regional Settings (or Regional Options) from the Control Panel window.
  3. In the new window, select the tab entitled Numbers.
  4. In the List Separator field, be sure that "," (comma) is selected in the drop down field. If "," is already selected click the OK button.
  5. If "," is not selected, choose or type "," in the field provided and then click the Apply button, followed by the OK button.

Now you can start the Export process from MS Outlook Express:

  1. From MS Outlook Express, click on Tools and then scroll to and select the Address Book... menu item. Your Address Book will appear.
  2. From the Address Book window, click on File, scroll to Export and then select the Other Address Book... menu item.
  3. Select (highlight) Text File (Comma Separated Values) and click the Export button.
  4. Choose the destination folder and file name to save the resulting .CSV file (i.e. C:\MyDocuments\exported_address_book.csv) and click the Next button. The CSV Export dialog window should now appear.
  5. You may check (on) or uncheck (off) any of the listed contact fields to export*, but the Name field is absolutely required (or First Name and Last Name both instead Name) in order to import the files into eXtreme Answer.
  6. Click the Finish button to continue.
  7. Click the Close button once the export completes.

Now, you have a file located in c:\MyDocuments\exported_address_book.csv, which contains your Contacts list. Click here for instructions on how to import this file into eXtreme Answer.

Importing the .CSV file into your eXtreme Answer Address Book:

To import your new .CSV file into your eXtreme Answer Address Book, you will first need to log into your eXtreme Answer Account:

  1. Go to http://service.extremeanswer.com
  2. Enter your phone number and password in the fields provided
  3. Click on the Submit button.

Note: You can also log into your account by double clicking on the eXtreme Answer icon in your system tray and then clicking on Messages.

Once logged, follow these instructions to Import your file:

  1. In the left-hand Navigation Bar, click on Address Book.
  2. Click the Import button to open the Import Address Book page.
  3. Select how you would like eXtreme Answer to handle duplicate records by selecting the appropriate radio button*.
  4. Click the Browse button and find the .CSV file from the aforementioned saved location on your computer and click Start Import.

* You have three choices when the .CSV file contains a record that already exists in your eXtreme Answer Address Book:

  1. Overwrite the existing record with the new record.
  2. Keep the current existing record and add a new record imported from import file.
  3. Keep the current existing record and ignore the record in the import file.

X. How do I cancel my eXtreme Answer Services?

If you wish to cancel your eXtreme Answer Services, please click here to contact our Support Team.

We are interested to know your reason for canceling the service and would like the opportunity to address any concerns you may have.

Important Note: When you choose to cancel your service eXtreme Answer will immediately delete your account, including any messages contained therein, and remove your name from our directory. If eXtreme Answer added call forwarding onto your phone line on your behalf, we will also be able to remove the call forwarding features on your behalf. If you ordered the call forwarding features from the phone company during your sign up process, you must call the phone company and cancel them. eXtreme Answer cannot cancel them for you.

Canceling Call Forwarding

eXtreme Answer Lite

If you authorized eXtreme Answer to order call forwarding on your behalf during your sign-up process, eXtreme Answer will also cancel the call forwarding service on your behalf.

If you did not authorize eXtreme Answer to order this feature for you during sign-up, then you will need to remove the call forwarding service yourself. Please contact your local phone company and place an order to remove Busy Call Forwarding directly, otherwise, the phone company will continue to charge you for the forwarding service even though your eXtreme Answer Account has been canceled.

eXtreme Answer Premium

If you authorized eXtreme Answer to order the call forwarding on your behalf during your sign-up process, eXtreme Answer will also cancel the call forwarding services on your behalf.

If you did not authorize eXtreme Answer to order these features for you during sign-up, then you will need to remove the call forwarding services yourself. Please contact your local phone company and place an order to remove both Busy Call Forwarding and No Answer Call Forwarding directly, otherwise, the phone company will continue to charge you for the forwarding service even though your eXtreme Answer Account has been canceled.

Uninstalling eXtreme Answer Software

To uninstall the eXtreme Answer software from your computer, please follow these steps:

  1. Go to your Windows Start Menu
  2. Scroll to 'Settings'
  3. In the 'Settings' menu, choose 'Control panel'
  4. In the 'Control Panel' window, double click on 'Add/Remove Programs'
  5. A list of programs will appear, scroll down until you find the eXtreme Answer program
  6. Highlight the eXtreme Answer program, and click on the 'Change/Remove' button
  7. An uninstall wizard will appear and guide you through the un-installation process
